Pulse Sequences in Pipedrive: How to Standardize Lead Nurturing While Maintaining a Personal Touch

The new Pulse Sequences feature in Pipedrive introduces the ability to set up a unified process for working with leads across the entire sales team. Unlike fully automated workflows, this tool helps maintain a human and personal touch, as it also includes manual steps – such as handwritten emails or scheduled calls.

What are Pulse Sequences?

Pulse Sequences in Pipedrive CRM help users create structured, repeatable workflows that combine manually sent emails with follow-up activities. This gives your sales team the ability to reach out to prospects consistently, professionally, and still with a personal touch.

How to use Pulse Sequences in practice

You can add selected deals into each sequence and assign them precisely timed steps, such as phone calls, sending emails, or follow-up meetings. This way, you create linear scenarios that help smoothly move leads through the sales process.

Sequences can be especially useful when:

  • you want to gradually reach out to cold or warm leads,
  • you need to ensure a consistent approach across the entire sales team, or
  • you want to build repeatable workflows that guide your team step by step through the process.
A typical example might be a scenario where you send a series of three personalized emails over the course of a week and then follow up with the lead by phone.

Setting Up Pulse Sequences Step by Step

1. Create a sequence

In Pulse > Sequences, click „+ Sequence“ to add a new sequence. You can start from scratch or use a prebuilt template.

If you start from scratch, the overview board will show a summary of the current status and available actions. First, decide what should happen when a deal is added to the sequence, and then either schedule an activity or create an email draft accordingly.

2. Planning an activity

In the activity editor, you define the date, type of activity (e.g., call, meeting), assigned person, and priority. Each step can be flexibly added or adjusted.

After saving your changes, you can always add more deals to the sequence or include additional steps—whether activities or email drafts.

3. Creating email drafts

When you choose a step to create an email draft, the email editor will open. There, you set the sender, recipient, body text, and formatting. Naturally, you can also make use of predefined templates. Finally, you can set a reminder to send the email.

After saving, each draft will also appear in the Pulse Feed, giving you a clear overview of when it’s scheduled to be sent.

4. Adding deals to a sequence

You can add up to 50 deals to each sequence. Deals can be added in several ways:
  • Directly in the sequence builder: click the “Add deals to sequence” button on the right side of the screen, enter the deal you want to add, and save.
  • From the deal detail view: click the “Add to sequence” button.
  • In bulk from the list view (available from the Growth plan): select the deals you want to add to the sequence, then click the “Add to sequence” button at the top of the page and choose the desired sequence.
In the sequence overview, you can easily track the status of each deal—from in progress to completed or unsuccessful.

Sequences vs. Automations – what’s the difference?

While automations in Pipedrive streamline repetitive processes across the entire sales cycle, sequences focus primarily on lead nurturing and maintaining personal contact.

Sequences are step-by-step workflows made up of personalized, manually sent emails and follow-up tasks. They help nurture prospects in a more personal and targeted way.

Automations, on the other hand, are broader and more complex workflows triggered by specific conditions in Pipedrive. They simplify repetitive tasks throughout the entire sales process – not just lead communication.
  Sequences Automations
Focus Lead nurturing Entire sales process
Trigger Manual (the user adds a deal to the sequence) Automatic (based on conditions)
Level of Automation Requires manual input

Fully automated

Complexity Simple linear flows

Advanced logic with multiple triggers

Sales Funnel Stage Early and middle stages

All stages

Examples Sending a series of personalized, scheduled emails followed by a call Automatic task assignments or deal stage updates

Availability and Limitations

The Pulse Sequences feature is available in the Growth plan (limited to 5 sequences), Premium plan (limited to 10 sequences), and Ultimate plan (limited to 20 sequences).
If you’re still using legacy plans, sequences are available in the Professional plan (limited to 5 sequences), Power plan (limited to 10 sequences), and Enterprise plan (limited to 20 sequences).

Summary

Pulse Sequences allow you to standardize how your team works with leads while still maintaining the human touch that often makes the difference in closing a deal. They provide a consistent and repeatable process that unifies workflows across the entire team, yet leaves enough room for personal interaction.
